In operation since 1982, P & S VanBerlo Limited grows a total of 1,500 acres, including ginseng, tobacco and over 700 acres of sweet potatoes. In fact, we are Canada’s largest producer of sweet potatoes, providing over 14,000,000 pounds of premium sweet potatoes to the Canadian consumer. We have worked with County, Provincial and Federal organizations to become a leader in our industry.
Our state of the art facility cures, stores and provides packing area for our entire crop. A one of a kind computerized temperature and humidity control system ensures proper storage conditions all year round.
SUMMARY OF DUTIES
The Finance and Office Manager provides a range of accounting and general office support in a fast-paced farming operation. Accounting duties will include the preparation of monthly and quarterly financial reports, bookkeeping, bank reconciliation, accounts receivable and payable, variance analysis, assessing the financial implications of business decisions and recommending sound financial approaches / solutions to business matters.
This role will also perform and/or oversee a variety of administrative and office management duties to ensure the efficient functioning of the office.
CORE DUTIES*
Finance and Accounting, including Payroll
- Oversee the day to day accounting needs for 4 companies (1 large, 3 small)
- Prepare, review and analyze monthly, quarterly, year-end and periodic financial statements, year-end working papers, tax returns and government remittances, in accordance with relevant industry accounting standards
- Assist with the preparation of annual budgets, project-related budgets, forecasts, variance analysis and other long-term financial plans
- Process payroll for employees base (approximately 100 employees)
- Serve as a resource to the management team on financial / accounting matters
- Liaise with the bank on routine matters such as monthly reports, cash flow analysis, budgets and forecasts etc.
- Perform a variety of Year-End financial duties, including:
- Inventory count
- Preparation of data and files for accountant
- WSIB annual reconciliation
- EHT annual reconciliation
- T4 preparation and balancing
- Oversee and perform routine accounting and financial reporting activities, including:
- Journal entries
- Bank reconciliations
- Balancing of intercompany accounts
- Balancing of debt
- Remittances
- Payroll processing for 100 employees
- Accruals
- Fixed assets
- Payables and receivables review and processing
- Management reports
Office Management
- Provide administrative and office management support
- Serve as the trusted point of contact for all customers, suppliers and vendors
- Administer all contracts, invoices, order status, quality and accuracy, etc.
- Receive and screen incoming calls, correspondence and visitors to the office, taking care to present a positive image of the organization at all times
- Respond to customer and supplier queries and/or concerns
- Organize and maintain all office files, records, and documentation
- Maintain office administration duties and ensure the daily operations of the office
- Ensure the timely and accurate shipping and invoicing of truckloads of product to designated locations
- Manage the purchasing and ordering of office supplies in line with budget
- Serve as a trusted point of contact for employee issues / needs, maintaining P & S VanBerlo’s reputation as a fair and responsible employer
- Negotiate, oversee and maintain appropriate equipment contracts
