Summary: Working closely with the engineering team, this person will be responsible for the administration for the engineers in engineering department, based in our London office.
Job Description: Administration: Commercial : to do quotations, invoices, business plan, cost control in accordance with MHPS EU procedures
Assisting: Assisting with the coordination of all activities conducted for engineering projects: visas arrangement, forecast of resources, etc.
Quality and Safety: support to engineering team for implementation and follow up of Quality and Safety procedures
Travel and Accommodation management: support the team with travel and accommodation arrangements
To manage and control engineer CSE/CRE working times for salary preparation
To control and monitor Engineering department cost
To update CSE, Repair Eng and Skills Matrix
On an annual basis, to assist with the administration for the booking of company medicals, to ensure all of the team remain “Fit to Work” and eligible for travel to outages as required.
Raising WBS requests for engineering team activities
Assisting with expenses for the engineering team
Creating report, measuring KPI’s and dealing with personnel’s time sheet and expenses
Assisting department managers in data entry for overtime in EZLM, if required
Work with Human Resources department on visa applications for the engineering department.
Updating and distributing engineering team schedules
Liaising with Human Resources department for booking and scheduling of training for Engineering department
Engineering team document control,
Processing for PO’s for CSE support during the outages
Organising health& safety training, documentation for site entry
Person Specification: Proven experience in a similar role
Fluency in business English
Excellent MS Office knowledge
Ability to work to tight deadlines
