Essential Receptionist Characteristics: Customer Service
- The ability to communicate effectively with a diverse range of people
- Excellent communication skills both written and verbal (email, facebook)
- Be professional and recognize the importance of maintaining professional boundaries in the clinic environment
- Be reflective and understanding of own behaviour and how this impacts on clients and practitioners
- Understand the necessity for confidentiality and data protection
- Ability to deal effectively with telephone calls, including more challenging ones
Admin
- Highly organized and detail oriented
- Good IT skills (Microsoft Office package, including Excel, Facebook, email) Be happy to use a Mac computer
Independent working
- Confident and able to work independently and be self-motivating
- Be comfortable to be alone on the premises at times
Other
- Some flexibility to provide cover at times during periods of sickness and holidays; to take on new tasks
- A keen interest in, and some experience of using (or undertaking) complementary therapies
Main Duties and Responsibilities:
- To manage reception desk independently
- On-time opening and closing the practice according to practice procedure, ensuring that premises are left safe and secure
- Responsibility for keys, and to follow procedure in case of loss
- Answering phones and general email correspondence and enquiries
- To meet and greet clients, members of the public and visitors to the practice in a friendly and courteous manner, using appropriate boundaries
- Entering data accurately in appointments diary, following the established coding
- Maintain relevant spreadsheets for smooth running of practice (timesheets, gift voucher tracking, cancellations tracking, reception notes…)
- Updating internet based media (Facebook)
- Maintaining overall smooth running of reception and following reception procedures and guidelines as laid out during induction
- Being able to give accurate and up to date information to prospective patients regarding available therapies/therapists and prices
- Reporting back to reception team on a regular basis via Reception Notes document
- Attend practice meetings with Reception Co-ordinator, reception team and director as required.
- Comply with all in house and statutory Health & Safety procedures
- From time to time reception staff may be asked to take on additional duties or relinquish existing duties to ensure efficient running of the practice. The Manager reserves the right to redistribute duties and functions amongst members of reception staff from time to time and requests for such changes shall not be reasonably refused
- Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, printer
